A review target is easy to write on the manager's whiteboard. Earning it depends on what happens at the table. Start by making honest feedback easy to leave, then use the complaints to fix service. A customer waiting forty minutes for dinner needs a better kitchen handoff before another review reminder.
Invite genuine diners to share honest feedback using the same review link. Keep cashback separate from reviews. Check your Business Profile for unexpected changes and use a weekly complaint log to turn feedback into specific service fixes. No tool can promise a particular star rating in ninety days.
What changed for Google reviews in 2026?
On 16 April 2026, Google announced stronger protection against review scams, including temporary review pauses when it detects suspicious spikes. It also announced alerts about important proposed Business Profile edits. A sudden change in review activity therefore needs investigation before you blame the staff or your marketing tool. Read Google's Maps announcement.
Assign one manager to check profile notifications. If opening hours or the restaurant name changes unexpectedly, investigate through the Business Profile account. Keep a simple record of the date, the change and the correction. A wrong closing time can send a hungry customer elsewhere even when the rating looks healthy.
The current Google Maps policy prohibits review incentives, selective positive-review requests and pressure to post on the premises. It also prohibits asking staff to solicit a set number of reviews. Review quality should come from a genuine dining experience, with customers choosing their own words and rating.
How should a restaurant ask for reviews?
Create one repeatable process after a completed visit. Give diners a direct link or QR code, keep the wording neutral, and make participation optional. Google's review guidance supports links and QR codes. Customers need to sign into a Google Account, so test the journey on a phone before printing anything.
- Check the destination. Open the link from your own Business Profile and confirm the restaurant name, address and branch. A multi-outlet business needs the correct link for each location.
- Choose a consistent moment. Offer the invitation after the visit, when the diner can reflect on the whole experience. Avoid interrupting a meal or asking someone to show their completed review.
- Keep the invitation short. Use a receipt, a takeaway insert or an appropriately permitted follow-up message. Describe the action without promising a benefit.
- Prevent repeated asks. Keep a request log so a repeat customer does not receive several reminders for the same bill. Give staff a clear way to stop further messages.
- Read the feedback. Put recurring problems into the next team briefing and assign someone to fix them.
Example invitation: Thanks for dining with us. If you would like to share your experience, you can leave an honest Google review here: [your restaurant's review link]. Your feedback helps us improve.
The bracketed link is a field to replace in your own message. Test the completed version with a staff device. Check that the message identifies the restaurant and that the landing screen belongs to the branch the customer visited.
| Workflow | What the customer receives | What staff record |
|---|---|---|
| Review invitation | An optional link for honest public feedback | When the invitation was offered |
| Loyalty reward | The reward earned under purchase rules | Purchase and redemption details |
| Service recovery | A response to the dining problem | The issue, owner and resolution |
Why is a promised rating jump misleading?
The same new reviews affect a small profile and a large profile differently. For an illustrative calculation, assume a restaurant has exactly 100 reviews averaging exactly 3.8. If another 100 reviews all give five stars, the new average is 4.4: (100 × 3.8 + 100 × 5) ÷ 200.
Under those assumptions, reaching an exact 4.7 average requires 300 additional five-star reviews. With 1,000 existing reviews averaging 3.8, it takes 3,000 additional five-star reviews to reach that same mathematical average. Real reviews will vary, and a displayed rounded score does not reveal the exact underlying average.
These examples explain the arithmetic, not a collection target or a forecast. Ask for honest feedback. Track the number of completed visits, invitations and new published reviews separately. You cannot reliably match every public review to a bill, and a review-link click is not proof that somebody posted.
What should the manager check each week?
Spend the meeting on issues the restaurant can change. Read a mix of positive and negative feedback. Compare repeated complaints with kitchen and floor notes, then choose one improvement with a named owner. Keep that action visible until the next review instead of filing the feedback and forgetting it.
- Waiting time: Check which shift and dishes caused delays; review the handoff between order taking and preparation.
- Missing items: Compare takeaway complaints with the packing checklist. Add a final bag check where needed.
- Expectations: Make portion sizes, inclusions and offer conditions clear before the order.
- Profile accuracy: Check hours, contact details, menu links and unresolved Google notifications.
Reply to the specific concern, avoid sharing private order details publicly, and explain the next step. If someone reports cold food, investigate the service or dispatch process. A generic thank-you does not explain what changed. Report content that violates Google's policies through the profile's reporting tools; an unfavourable opinion alone is not proof of a violation. Google's reply guidance explains the distinction.
Reviews are one part of local discovery. Google also describes relevance, distance and prominence as local ranking factors. Keep business information complete rather than treating the rating as the entire ranking system. See Google's local ranking guidance.
MRP Shop's review-request tools fit into the follow-up step. Check the actual message and customer journey during setup, including how loyalty offers appear beside a review link. Keep the invitation neutral and independent of reward eligibility.
Common questions
Can a restaurant reward customers for Google reviews?
Keep rewards independent of reviews. A customer's purchase can earn cashback under your loyalty rules whether they review the restaurant or not. Do not make a discount, free dish or reward conditional on posting, changing or removing a Google review.
Should unhappy diners receive a different review link?
Use the same public review option for everyone. You can also offer a private support channel, but a satisfaction score should not decide who gets access to Google. Give the manager a separate process for resolving complaints.
How quickly will more reviews change my rating?
There is no reliable fixed timetable. The result depends on the existing review count and the ratings of future reviews. Use the arithmetic example in this guide to understand the scale involved, then track genuine feedback without promising a target score.
Can we automate the review request?
Yes, a tool can send a neutral invitation after a real visit. Test the link, message timing, duplicate prevention and communication permissions. Keep the customer's review voluntary and let them write it in their own words. Automation cannot guarantee publication or a particular rating.
